The Templates feature streamlines the creation of Evaluations by letting you reuse pre-designed workflows. Templates save time by skipping the manual process of adding meetings and success criteria, while maintaining consistency across all your Evaluations.
Whether you're setting up a new Evaluation or refining a workflow, Templates ensure your team is aligned with best practices from the start. To help you get started, Opine provides the following out-of-the-box templates:
Commercial Software Evaluation - A default template for commercial software evaluations
Enterprise Software Evaluation - A default template for enterprise software evaluations
Government Software Evaluation - A default template for government software evaluations
The Templates dashboard provides an overview of all available templates in your system. Use sorting and filtering options to quickly find specific templates by title, description, or author. To create a new template, click the + Template button.
Templates can be customized to match your team’s unique workflows. The template editor allows you to define and refine the components of an Evaluation:
Each Evaluation is divided into phases, which help group and track progress. Add phases such as:
Prerequisites: Define entry requirements, like signing NDAs or aligning on success criteria.
Execution: Specify activities such as workshops, testing, or feature demonstrations.
Outcomes: Capture success metrics and final deliverables.
Include measurable goals for each phase to ensure alignment with customer expectations. Success criteria define what "success" looks like, making it easy to track progress and evaluate outcomes. You can also add:
Key meetings: Kickoff calls, workshops, or check-ins.
Specific tasks: For example, provisioning access or documenting findings.
Each item can include notes or detailed guidance to ensure the workflow is executed smoothly. Additionally, you can upload and manage relevant files in the File Center area of the template.
When creating a new Evaluation (from the deal page), you can select a template to clone. The new Evaluation will automatically include all phases, success criteria, meetings, and tasks from the template. Once created, you can further customize the Evaluation to suit your specific deal or customer.
Templates encourage best practices across your team by standardizing workflows. This alignment ensures Evaluations are conducted efficiently and consistently, improving team collaboration and reducing errors.
